Information We Collect

To operate the App and provide membership services, we collect only the minimum necessary data:

• Identity Information: your name (English and Chinese) and email address.
• Contact Information: your phone number.
• Membership Application Data: nationality, professional background (company, job title, industry), and committee interest preferences.
• Optional Information: date of birth, gender, and LinkedIn profile, collected only if you choose to provide them.
• Payment Verification Data: your selected payment method and payment reference name, used solely to verify membership fee payments. The App does not process payments or store any bank or card details.
• Technical Data: a push notification token, used solely to deliver notifications you have enabled. Service providers may also process basic device information in server logs for security and maintenance.

Purposes and Legal Basis for Processing

• Performance of a Contract: to process your membership application, verify status and fee payment, and deliver related services.
• Legitimate Interests: to maintain the security of the App, prevent unauthorized access, and conduct necessary chamber communications.
• Consent: optional information (date of birth, gender, LinkedIn profile) is processed only with your consent, which you may withdraw at any time.

Data Sharing and Third-Party Services

We will never sell your personal data to third parties for marketing purposes. To operate the App we rely on a limited number of trusted service providers (secure cloud hosting and databases, user authentication, and push notifications) who process data only on our behalf, under data processing agreements. Where data is processed outside the EEA, the transfer is protected by appropriate safeguards under Chapter V of the GDPR, such as an adequacy decision and/or Standard Contractual Clauses. We may also disclose information to law enforcement where required by law.

Data Retention Period

• Membership and profile data: for the duration of your membership and up to 24 months after expiry, to facilitate renewal.
• Rejected applications: deleted 12 months after the decision.
• Payment verification records: retained in pseudonymized form for the period required by accounting law, then deleted.
• Consent records: for as long as your account exists, and thereafter as necessary to demonstrate compliance.

If you request account deletion, your account is deactivated immediately and your data is deleted within 30 days, except where retention is required by law.

Your Rights

• Right of Access — to view or obtain a copy of your personal data.
• Right to Rectification — to correct inaccurate data.
• Right to Erasure — to request deletion of your personal data.
• Right to Restriction & Data Portability — to restrict usage or obtain data in a machine-readable format.
• Right to Object — to object to processing based on legitimate interests, including chamber communications.
• Right to Withdraw Consent — at any time, without affecting prior lawful processing.
• Right to Lodge a Complaint — with the Danish Data Protection Agency (Datatilsynet), Carl Jacobsens Vej 35, 2500 Valby, Denmark — www.datatilsynet.dk.

Child Safety and CSAM Policy

The App has a zero-tolerance policy regarding Child Sexual Abuse Material (CSAM). We strictly prohibit uploading, sharing, or distributing any content involving the sexual exploitation or abuse of children. Upon discovery, we will remove the content, suspend the account, and report to relevant law enforcement or child protection organizations (such as NCMEC).
